What Matters
A balance discrepancy deserves investigation, but the first task is to compare the same asset, account boundary, balance definition and timestamp. Wallet balance, equity and available funds can legitimately differ. These nine checks help distinguish a reporting mismatch from an unexplained ledger gap, with a worked reconciliation you can reproduce without connecting an exchange account.
DN Evidence Block
Last verified: 25 October 2026. Scope: Bybit wallet-balance and transaction-log documentation, Binance spot account documentation, and OKX’s spot borrowing field guide. Original contribution: a nine-step audit and one synthetic settlement-currency ledger.
Finding: a balance field is meaningful only with its account mode and accounting definition. Missing pages, inconsistent fee signs and mixed snapshots can create a false gap.
Evidence limits: documentation review and arithmetic checks only. DN did not inspect private accounts, reproduce a customer loss or certify any venue’s records. No platform is ranked for accuracy. This is a 2027 guide using information reviewed in October 2026.
First distinguish the three questions
“How much is in the wallet?”, “What is my equity?” and “How much can I use or withdraw?” are different questions. A number labelled balance in your spreadsheet may answer a different question from the exchange screen beside it.
This guide reconciles account state. It does not determine whether a strategy generated attractive returns. DN’s AI Trading Bot Net P&L Audit covers performance reconstruction; here the objective is to explain the closing balance with complete, correctly interpreted records.
1. Match the exact account boundary
Write down the legal entity, main account or subaccount, wallet, account mode and currency. A transfer from a funding wallet to a trading wallet is an inflow to the trading wallet but not new wealth across the combined account. A subaccount report may exclude funds shown on the parent dashboard.
Check: give both opening and closing snapshots the same boundary. Include both legs of an internal transfer when consolidating wallets. If one leg falls outside your selected time window, treat the timing difference explicitly rather than deleting the transfer.
2. Compare the same balance definition
Bybit documents separate wallet, equity, margin and available-balance fields. It also distinguishes the unified account from funding-wallet queries and describes liabilities that affect interpretation. [1] Binance’s spot account response separately reports free and locked amounts. [3]
Check: label your target as a specific field, not simply “exchange balance.” Do not assume free, available, transferable and withdrawable are interchangeable across products. A correct wallet reconciliation does not by itself establish the amount you can withdraw.
3. Separate token quantity from dollar valuation
A dollar dashboard can move while the underlying token quantity remains unchanged. Start with native units for each asset. Then build a separate valuation bridge using a stated price source and timestamp.
Check: do not silently equate USDT, USDC and USD, or use today’s price to explain yesterday’s reported equity. For a multi-asset account, reconcile each asset before summing converted values. A dollar total can hide offsetting quantity errors.
4. Look for funds reserved by orders or positions
Resources committed to open orders or margin may remain part of one reported balance while being unavailable for another use. OKX’s spot borrowing guide distinguishes equity, available balance, funds in use and liabilities; it also describes discounted collateral values. These definitions are mode-specific. [4]
Check: inspect order reservations, position margin and product allocations before treating unavailable funds as a missing transfer. Do not cancel a protective order or alter a leveraged position solely to make a balance display match your spreadsheet.
5. Match deposits, withdrawals and transfers to posted records
A withdrawal request, an onchain transaction and a receiving-account credit are different events. Build the bridge from records posted inside the chosen boundary. Preserve pending items separately with their identifiers and current status.
Check: distinguish the amount debited, the amount delivered and any separately recorded charge. If the exported debit already includes a fee, subtracting that fee again creates a false shortage. DN’s Emergency Liquidity Index explains why transferred and usable collateral are different states.
6. Normalize fees, rebates, funding and interest
Never impose one sign convention on every export. Bybit’s transaction log documents a change field derived from cash flow, funding and fees, with distinct treatment for fee expenses and rebates. It also provides transaction and trade identifiers. [2]
Check: map each source into one signed ledger convention: credits positive, debits negative. Include the actual charged asset. Choose either a documented net-change field or its verified components; adding both counts the same movement twice. Borrowing and repayment also need separate liability records to distinguish cash from net equity.
7. Keep realized settlement separate from unrealized P&L
An open position’s valuation can change without an equivalent cash posting. Conversely, a contract’s settlement process can move a previously unrealized result into the wallet. Use the account’s actual settlement rules and posting records.
Check: build the wallet bridge first, then explain the bridge from wallet to equity. Do not add the same profit once as a realized posting and again as unrealized P&L. Option value, liabilities and product-specific adjustments may require additional lines; the simple example below excludes them.
8. Align timestamps and finish the export
Use a defined cutoff, ideally recorded in UTC, and distinguish event time from the time an export was downloaded. Data requested during ongoing activity need not form one atomic account snapshot.
Bybit’s transaction-log documentation specifies time-window and pagination behavior, including a continuation cursor. A returned first page is not evidence that the period is complete. [2]
Check: collect every page for the selected period, de-duplicate using documented identifiers and verify boundary timestamps. Do not discard fills merely because they share an order ID: one order can produce several distinct executions. Record any reporting delay rather than fabricating a balancing entry.
9. Preserve the unexplained residual and escalate with evidence
If definitions and posted movements still fail to reconcile, retain the gap as an unresolved exception. Prepare the opening snapshot, closing snapshot, account scope, currency, cutoff, relevant transaction IDs and your calculation. Redact unrelated personal details before sharing support material.
Check: report the precise discrepancy through the venue’s official support route. Do not assume every gap is harmless, but do not label it theft based only on mismatched dashboard fields. If records show activity you did not authorize, treat that as a separate account-security incident immediately. Never share API secrets, seed phrases or login codes to obtain help.
DN Worked Reconciliation: find the missing $60
This synthetic example uses one settlement-currency wallet, no borrowing, no spot inventory conversion and no external valuation changes. Amounts are illustrative currency units, not a venue statement or a promise that a stablecoin always equals one US dollar.
| Posting | Signed movement | Running wallet balance |
|---|---|---|
| Opening wallet balance | — | 10,000 |
| Posted deposit | +2,000 | 12,000 |
| Posted withdrawal, fee excluded | −1,500 | 10,500 |
| Realized settlement credit | +450 | 10,950 |
| Trading fees | −35 | 10,915 |
| Funding paid | −60 | 10,855 |
| Separate withdrawal fee | −15 | 10,840 |
| Rebate posted | +4 | 10,844 |
Expected closing wallet = opening wallet + sum of signed posted changes. Here the result is 10,844. Residual = reported closing wallet − expected closing wallet. If the reported figure is also 10,844, the residual is zero. That proves agreement for these inputs, not independent completeness or solvency.
If the analyst omits the funding debit, the reconstructed balance becomes 10,904 and the residual is −60. The missing row explains the discrepancy. Entering an unsupported −60 “adjustment” would make the arithmetic agree while concealing the actual cause.
Now assume a separate +1,000 unrealized result. In this simplified account, equity is 11,844 while the wallet remains 10,844. Neither figure is a universal available-balance calculation. Actual collateral discounts, reservations and liabilities must be handled with the venue’s documented rules.

What to compare when choosing reporting tools
Look for asset-level balances, complete transaction history, stable record identifiers and clear fee/settlement definitions. Verify export access for your account and jurisdiction before treating a feature as available. Better documentation helps you investigate a discrepancy; it does not certify custody safety or reporting accuracy.
For a broader platform decision, use DN’s Pathfinder and team trading comparison. These internal guides can contain disclosed affiliate links. There is no need to move funds merely to perform the audit, and no provider earns a safety endorsement from inclusion here.
DN Alpha Thesis
A reliable reconciliation preserves the distinction between “explained,” “agreed” and “independently verified.” Make each movement traceable, keep the balance definitions explicit and leave unresolved differences visible. A zero residual produced by an invented adjustment is weaker evidence than an honest exception with a clear investigation path.
Methodology, limitations and change log
DN reviewed four official documentation pages on 25 October 2026 and constructed the synthetic ledger above. The nine checks are an editorial investigation framework, not measured failure frequencies or a ranking. Arithmetic was checked independently. This worksheet is static, requires no credentials and sends no account data anywhere.
Venue-specific taxes, reporting retention, liquidation accounting, options, borrowing and corporate accounting requirements may require additional records and professional interpretation. Preserve source files and document the exact assumptions used. Recheck documentation when account modes or API fields change.

Frequently asked questions
Does a lower available balance mean funds are missing?
Not necessarily. Available funds can differ from wallet balance or equity because of reservations, margin, liabilities or other product rules. Compare the same documented field before drawing a conclusion.
Can a zero reconciliation residual prove an exchange is solvent?
No. It shows that the selected records agree under the stated definitions. It does not independently prove completeness, ownership, custody safety or solvency.
Do I need to connect an account to use this worksheet?
No. The guide uses a static worksheet and a synthetic worked example. Keep real account records private and never submit secrets to use it.
